Set up your Office 365 mailbox in Outlook for Mac
This article describes how to install, configure, and perform basic functions within the Microsoft® Outlook® for Mac desktop application.
Prerequisites
- Setting Up Outlook on Mac Computers. Outlook 2016 for Mac. Begin by opening Outlook 2016; Select 'Get Started' From here you can choose if you'd like to use the Classic Outlook 2011 theme, or the new 2016 theme; Click 'Continue', then click 'Start Using Outlook' Next, select 'Add Account'.
- Setting up DNS Records for RackSpace Emails. Without the correct DNS settings associated to your domain, you can experience problems sending/receiving email. Please read the sections below detailing the most common DNS record-types for email. You will need to contact your DNS Host directly to add or edit any DNS Records.
Outlook 2016 has stricter AutoDiscover requirements. You have to check and make sure you have the appropriate CNAME set up for Rackspace's Autodiscover. Once you have the CNAME in place you'll have to wait for your Outlook clients to recognize the change. You need to set up a special DNS record for your domain name that points to the server providing Autodiscover services so that Exchange accounts function correctly in Outlook. For external access, or using DNS, the client locates the Autodiscover service on the Internet by using the primary SMTP domain address from the user's email address.

- Time Needed: 20 Minutes for installation and initial setup. The full propagation of email varies based on the size of the mailbox.
- Tools Needed: Installed Outlook for Mac desktop application. This article does not cover the pre-installed native Apple Mail application.

Install Outlook for Mac
Before starting, ensure that your device is on macOS® v 10.10 or later, because this is a requirement to use Office for Mac 2016.
When you install Outlook for Mac, there are two options: a company or personal product key or an Office 365 license thatincludes a downloadable version of the Office Suite.
If you have a company or personal product key, navigate to the link below, select the appropriate language, and then select Download:

- After the download has completed, open Finder > Downloads and double-click Microsoft_Office_2016_Installer.pkg.
- On the first installation screen, select Continue to begin the installation process.
- When prompted, enter your Mac login credentials to complete the installation process.
- Finally, enter your product key.
If you have an Office 365 license which includes a downloadable version of the Office Suite, use the following steps:
Note: If you aren’t sure if your license includes the Office suite, contact your administrator.
- In a web browser, navigate to office.com. Click Sign-In and enter your Office 365 email address and password.
- After you sign in, navigate to Settings and then Office 365 Settings > Software
- On the Software page, select Install under Install Office 2016 for Mac to begin the download.
- After the download completes, open Finder > Downloads and double-click Microsoft_Office_2016_Installer.pkg.
- On the first installation screen, select Continue to begin the installation process.
- When prompted, enter your Mac login password to complete the installation.
Configure your Office 365 mailbox for use with the Outlook for Mac desktop client
Use the following steps to set up your Office 365 mailbox within the Outlook for Mac desktop client:
- Start Outlook for Mac.
- Under the Tools menu, select Accounts.
- Click the + sign in the lower-left corner, and then select New Account
- Enter your Office 365 email address when prompted, then select Continue
- Finally, enter your Office 365 mailbox password when prompted to complete the setup process.
Troubleshooting
If you have previously configured your Office 365 mailbox for use in the Outlook for Mac desktop client, yet youcontinue to receive password prompts, use the following steps:
- To verify your credentials, attempt to log in at office.com with your Office 365 email address and password.
- Clear old entries from the Keychain Access for Mac, because Outlook might be trying to authenticate withan old password. For more information, see (Clear keychain access for Mac)[/how-to/clear-keychain-access-for-mac].
If you are unable to connect to the server, use the following steps:
- Verify that you have a functioning network connection.
- Verify that autodiscover has been configured correctly for your domain. For more information, see (Create DNS records using Windows-based DNS)[https://docs.microsoft.com/en-us/microsoft-365/admin/dns/create-dns-records-using-windows-based-dns?view=o365-worldwide].
- Contact your administrator to see if multi-factor authentication has been enabled for your organization.
Basic functions in Outlook
Now that Outlook is configured for use with your Office 365 mailbox, the following section describes a few basic functionswithin the application itself.
Compose a new message:
- Within Outlook, select New Email.
- Compose your email and click Send.
Add an email signature:
- In a new message, select Signature, and then Signatures.
- Within the Email Signature tab, click New.
- After completing your signature, assign a name to the signature and then select Ok.
- After you create the signature, you can configure how you want the signature to be used(on new emails, replies, and so on) under Choose default signature.
Reply to an email:
- Select the email you want to reply to, and then choose Reply or Reply to All.
- After you finish the message, select Send.

Once you have created your Rackspace mailbox and added MX and SPF records on your DNS registrar panel, you can also configure and use your preferred email client to send and receive emails.
This is totally optional and based on your preference to set up your mailbox with an email client, as you can start using your mail account at once through the provided using webmail .
Default IMAP Settings
Throughout this tutorial, you will learn how to configure IMAP over your preferred mail clients using the below criteria. We are using IMAP to keep a copy of your emails over your Rackspace account; this will allow you to use multiple email clients at once.

Configure Your Windows Mail Client
- Open Mail from the Windows Start Menu.
- If this is the first time you’ve opened the Mail app, you’ll see a Welcome page. Tap Add Account to get started.
If you’ve used the Mail app before, then go to Settings > Manage Accounts > Add Account.
- Choose Other Account.
- Enter your Mailbox Email Address.
- Next, define the Name you wish to use while sending messages.
- Enter your Mailbox Password.
That’s it! You have successfully configured your Rackspace mailbox with the Windows Mail client. The syncing process between Windows Mail and your mailbox may take some time based on the amount of email data to be fetched.
Configure Your MS Outlook Mail Client
- Launch Microsoft Outlook. In this demonstration, we are using Microsoft Outlook 2016.
- If this is the first time you’ve opened the Outlook, you’ll see a Welcome page. Click Next to get started.
If you’ve used Outlook before, then go to File > Add Account.
- Select Yes when prompted about setting up Outlook to connect to an email account and click Next.
- Select Manual Setup or Additional Server Types and hit Next.
- Select Manual Setup or Additional Server Types and click Next.
Rackspace Email Server Settings
- In the Add Account window, enter the following information:
User Information
Your Name: Your Name or Business Name
Email Address: Your Mailbox Email Address
Account Type: IMAP
Incoming Mail Server: secure.emailsrvr.com
Outgoing Mail Server: secure.emailsrvr.com
Your Name: Your Name or Business Name
Email Address: Your Mailbox Email Address

Logon Information

- Once cone, click More Settings.
- Switch to Outgoing Server, check My Outgoing Server (SMTP) Requires Authentication, and select Use Same Settings as my Incoming Mail Server.
- Change Use the Following Type of Encrypted Connection to SSL for both the Incoming and Outgoing Servers. Next, change the Incoming Server (IMAP) port to 993, the Outgoing Server (SMTP) port to 465, and click OK.
Setting Up Rackspace In Outlook For Mac 2016 Free
- Click Next.
- The Outlook will now attempt a small test by sending a text message using our configurations. If everything was configured correctly, the message would send out successfully. Click Close.
- Finally, click Finish to close the setup wizard.
Congratulations! You have successfully configured your Rackspace mailbox with Microsoft Outlook. The syncing process between Outlook and your mailbox may take some time based on the amount of email data to be fetched.
Configure Your Mozilla Thunderbird Mail Client
- Start by launching Thunderbird. If this is the first time you’ve opened the Thunderbird, you’ll see a Welcome page prompting to set up an existing email account.

Password: Your Mailbox Password

Once done, click Manual Config.
If you’ve used the Thunderbird before, then go to Menu > New > Existing Mail Account.
- In the current window, enter the following information to match the image below:

Once done, click Re-test.
- Once testing is successful, you can click Done to finish the setup.
That’s it! You have now set up Mozilla Thunderbird to work with your Rackspace mailbox. The syncing process between Thunderbird and your mailbox may take some time based on the amount of email data to be fetched.
Configure Your iOS Mail Client
- Visit Settings and tap Passwords and Accounts. In this example, we are using the Mail app for iOS 13.
Outlook Rackspace Setup
- Next, tap Add Account.
- Select Other at the bottom.
- Tap Add Mail Account.
- In the next screen, enter the following information:
Name: Your Name or Business Name
Email Address: Your Mailbox Email Address
Password: Your Mailbox Password
Description: Anything you’d like!
Email Address: Your Mailbox Email Address
Password: Your Mailbox Password

Once done, click Next.
- Next, enter the following information, the previously entered information should already be prefilled from the last section.
